Compliance steps checked every time,
not only before an audit

Compliance checklists tend to get a real, careful pass right before an audit and a much lighter one the rest of the year. We build an agent that runs your checklist continuously against the actual documents and data it checks, flags gaps as they appear, and keeps a dated record. An audit stops being a scramble.

Why the checklist only gets a real look once a year

Most compliance checklists live in a shared folder and get a genuinely careful pass exactly once: the week before an audit. For the other eleven months, the checklist gets opened when someone remembers. It gets filled in from memory rather than from the actual document, and signed off because the person doing it has other work waiting. Nobody is being lazy about it. A checklist with thirty items against real contracts, certificates and records takes real time to do properly, and that time rarely exists outside audit season.

The evidence and the checklist also live apart. The checklist says “valid insurance certificate on file.” Checking that means opening a different folder, finding the right document, reading the expiry date, and ticking a box. Multiply that by every item and every entity being tracked. A full pass becomes an afternoon, which is exactly why it only happens once a year.

The gap shows up hardest at audit time itself. Nobody can say when a given item was last actually checked, only when the checklist was last opened. An auditor asking “show me when this was verified” gets a date on a spreadsheet, not a record tied to the document it was checked against. That gap is where audits turn into scrambles, someone reconstructing a paper trail under time pressure instead of handing one over.

How the agent keeps the record current

The agent is built from your actual compliance requirements, not a generic template, so the checklist matches the regulations, certifications or policies you’re actually tracking. It reads the real documents and records that each item depends on, directly from Google Drive, Notion or your document management system. Then it checks them against the requirement on a recurring schedule, not once a year.

When an item can’t be verified, the agent raises a gap flag naming the specific requirement and the person responsible for it. The fix lands on someone’s desk the same day the problem is found, not at the next scheduled review. Ahead of recurring deadlines, a certificate renewal or a filing date, say, it sends a reminder early enough to act on, not a notice the day it expires. Every check it runs, pass or fail, gets written into a dated audit trail. That full record can be exported in one piece when an auditor asks for it.

What stays with a person

Judging whether a borderline document actually satisfies a requirement stays with a person. So does deciding how to interpret an ambiguous regulation, and signing off that an item is compliant. The agent checks against documented evidence and flags what it can’t verify. It does not mark anything compliant on its own judgment, and it never resolves a gap itself. Someone with the authority to make that call still reviews every flag and decides what happens next.

Guards

Every check the agent runs is logged with a timestamp and a link to the document it checked against. That builds the dated audit trail an auditor can be handed directly, instead of one assembled after the fact. The agent never marks an item compliant without documented evidence behind it, and a gap flag always names a specific requirement and owner rather than a vague warning. Source documents stay in your own systems throughout. The agent reads them to run the check and does not copy sensitive records anywhere else.

Price and timeline

Option Price What it covers Timeline
Single automation from $600 One checklist, one set of source documents, continuous checking and gap flags 1 to 2 weeks
Department package from $2,500 Compliance checklists plus quality control checklists and incident report tracking across operations 2 to 4 weeks

Running cost is usually $15 to $60 a month in model usage depending on how many documents get checked, with a budget cap set before launch.

This pairs naturally with quality control checklists when the same operation needs both a compliance pass and a production-quality check. Add incident report automation, so a compliance gap that turns into an actual incident gets tracked the same way. If the underlying process also needs documented procedures, SOP generation builds the reference document the checklist is checking against.

For a close look at document-heavy compliance work, see the visa consulting centre case study. A live knowledge base and admin controls there had to stay accurate without a developer in the loop. The B2B certification body case study is another, built for a client whose entire business is certification compliance.

FAQ

How much does compliance checklist automation cost?

from $600 for one checklist and one set of source documents. Multiple regulations or entities add time, quoted after a short review.

How long does setup take?

1 to 2 weeks once we have your actual compliance requirements and where the evidence for each item lives.

What tools does it use?

Google Drive, Notion, your document management system, and email or Telegram for gap alerts.

Can the AI mark something compliant on its own?

A gap the agent finds is flagged with the specific requirement and owner. It never marks an item compliant on its own judgment, only against documented evidence.

Is our compliance documentation secure?

Compliance documents stay in your own systems. The agent reads them to check against the checklist and does not export sensitive records elsewhere.
