Who outgrows a shared inbox

How we build it

We start by mapping your actual ticket volume and categories. Routing rules and SLA targets only work if they are built around real patterns rather than guessed defaults. AI-assisted replies, where you want them, are scoped to clearly defined common questions with a human review step before anything sends. They are never fully autonomous on a question that could go wrong. The knowledge base is built from your team’s actual most-asked questions, not written speculatively before any real ticket data exists to base it on.

Where this goes wrong if you are not careful

SLA rules that look reasonable on paper can produce false alarms or miss real risks once real ticket volume and complexity hit them. We tune thresholds against your actual historical ticket data, rather than an industry-standard default that may not fit your support team’s real capacity. The second risk is AI-drafted replies drifting into territory they should not touch, answering a question confidently that actually needed a careful, personal response. We scope AI drafting narrowly to clearly repetitive, low-risk questions. A human review step stays in place, rather than trusting the model’s judgment on anything ambiguous.

The third trap is a knowledge base that goes stale the moment it is published. It keeps answering a product’s old pricing or an outdated process months later, actively misleading customers. We build a simple review cadence into the handover, so someone owns keeping it current, not just the initial writing of it.
