Lead routing that reaches an agent
before the lead goes cold

We built, and still run, a real estate lead-routing system. It takes a lead from a Meta ad, pushes it into amoCRM, and alerts the right agent over WhatsApp. Ad spend gets tracked against actual qualified leads, not clicks. A vertical real estate SaaS platform takes that pattern and builds it to fit your own market and listings.

Where leads go cold today

A vertical SaaS platform for real estate fits an agency or developer generating leads from ads and listing sites faster than agents can respond. Or one losing leads to a shared inbox nobody checks fast enough. It fits a team that has already tried a generic CRM. The real estate specifics, listing-based routing, agent territory, the lag between a lead and a viable response window, do not fit a one-size pipeline.

What replaces the shared inbox

Lead capture pulls from every source a real estate business actually uses. Ad platforms, listing site forms, a website contact form, all into one pipeline instead of three disconnected inboxes. Routing rules send a lead to the right agent by territory, language or the specific listing it came in on. Checked automatically, rather than by whoever happens to see the lead first.

WhatsApp or Telegram alerts, so an agent knows about a hot lead in minutes. A lead that sits for hours is a lead a competitor often reaches first. Ad spend attribution ties spend to actual lead quality and deal outcome, not just click volume that looks good in a report and means nothing in revenue.

How we build from our own playbook

We build this the same way we built, and still run, our own real estate lead-routing system. We start from the actual lead sources and the real agent workflow, not a generic CRM template. Routing rules are built and tested against real lead volume before launch. A routing rule that looks right on paper can route unevenly, once real-world lead timing and agent availability hit it. CRM integration is built to the CRM you already use, where possible. Asking an established agency to switch CRMs just to adopt new lead routing is a much bigger ask than it needs to be.

Where lead-routing platforms break down

Lead routing is only as good as the rules behind it. A rule that worked for three agents breaks down once a fourth agent joins, with a different territory or a different language specialty. We build routing rules to be edited by your team without needing a developer. Territories and agent rosters change more often than most systems assume.

The second risk is ad attribution drifting out of sync with actual deal outcomes. A lead that looks cheap on a per-click basis can be expensive per closed deal, if it never converts. Closing that gap is exactly what this kind of platform is built for. We tie spend to deal outcome, not just lead volume, and flag the difference when it is large.

WhatsApp and messaging reliability is the third area to watch. A missed or delayed alert defeats the entire purpose of fast routing. We build alerting with retries and a fallback channel, so an agent never misses a hot lead because one notification silently failed to deliver.

Timeline and price

Option Price What it covers
MVP from $9,000 Single market, basic lead capture and routing, manual CRM entry
Production from $15,000 Multi-agent routing by rules, full CRM integration, WhatsApp alerts, ad spend attribution
Full control (handover-ready) from $16,000 Everything in Production plus a management reporting dashboard, architecture documentation, and 90 days of support

Running cost after launch depends on hosting and, where relevant, model usage, typically $20 to $150 a month for a project at this scale.

What you own at the end

You own the platform, the CRM integration, and every lead and routing record, running through your own CRM and ad accounts. The system is documented so your own team, or a future developer, can adjust routing rules as territories or agents change without needing us for every tweak. This is the same handover standard on every product we build. No proprietary platform only we can operate. No API key or hosting account left in our name after launch. And a written document covering the architecture and the decisions behind it. A future engineer, yours or ours on a continuing basis, should be able to extend the system. No guessing why it was built the way it was.

FAQ

How much does a vertical SaaS for real estate cost?

From $9,000 for lead capture, routing and CRM integration for one market, 8 to 12 weeks. A platform spanning multiple regions or languages with deeper ad attribution runs $14,000 to $20,000.

Can it connect to our existing CRM?

Yes. We have integrated with amoCRM directly, and can connect to most CRMs with an API. Where a CRM has no API, we build a workable sync through whatever export or webhook mechanism it does support.

How does lead routing decide which agent gets a lead?

By rules you set. Territory, language, listing type or current agent load, checked the moment a lead comes in. The alert reaches the right agent in minutes, rather than sitting in a shared inbox.

What is the stack?

Python and Cloudflare Workers for fast lead ingestion, Google Sheets or a proper database depending on scale, amoCRM or another CRM's API, WhatsApp via the official WhatsApp Business Platform, and Meta's Graph API for ad attribution.

Who owns the platform and the lead data?

You. Every lead, every routing rule, and every ad attribution record lives in your own systems, with the CRM integration under your own account credentials.
