An inbox is only an asset
if the mail actually arrives in one

Every cold email program lives or dies on infrastructure that most teams never check: authentication records, warm-up schedules, sending limits. We set this up correctly first, so campaigns built on top of it actually reach the inbox.

Why “we’ll fix it later” backfires here

Most teams that start cold outbound skip straight to writing the email sequence and building the list. Infrastructure, the domain, the authentication records, the sending limits, gets treated as a technical detail someone will handle later if it becomes a problem. By the time it becomes a problem, the mailbox is already flagged. Every email from that domain lands in spam, including the ones that were never part of the campaign.

The second common mistake is sending cold outbound from the company’s primary business domain, the same one used for invoices, support and every other important email. A deliverability problem on a dedicated outbound domain stays contained. A deliverability problem on the main business domain can take down email for the entire company.

Volume is the third failure point. A brand-new mailbox sending at full campaign volume on day one looks exactly like spam behaviour to mail providers. It does not matter how good the actual content is. The pattern itself, not the message, is what gets flagged.

What the setup actually involves

We set up a dedicated sending domain and mailbox, separate from your primary business domain. Outbound risk never touches the email your company depends on for everything else. We configure SPF, DKIM and DMARC authentication correctly. This is the single biggest factor in whether mail providers trust a domain. We verify the configuration rather than assume it is right because the settings look correct on paper.

We run a structured warm-up schedule. Sending volume increases gradually over two to four weeks, while we monitor how mail providers respond, before any real campaign goes out at full volume. Most teams try to skip this step under deadline pressure. It is the one that protects every dollar spent on the campaign built on top of it.

Once a domain is warmed and a campaign is live, we set sending limits and rotation rules across mailboxes, if volume requires more than one. We monitor deliverability continuously: inbox placement, bounce rate, blacklist status. If a mailbox does get flagged despite the precautions, we have a recovery plan ready. We do not want to discover the problem a week after it started quietly killing reply rates.

What you hand us to start

Access to your domain’s DNS settings, or a decision to register a dedicated sending domain if you would rather keep outbound fully separate. And the patience to let the warm-up period run its full length before expecting campaign-level volume.

What the weekly check actually tracks

Inbox placement rate, bounce rate, spam complaint rate and blacklist status, checked weekly during the warm-up period and monthly once a campaign is running steadily. These are leading indicators. Problems show up here before they show up as a drop in replies. That is why we treat them as the primary report, not a footnote to campaign performance.

Price and timeline

Option Price What it covers Timeline
Launch or audit from $600 Domain setup, authentication, full warm-up schedule 2 weeks (mostly warm-up)
Monthly management from $400 / month Ongoing monitoring, rotation management, recovery if needed monthly, no lock-in
Full control, handover to your team from $1,600 Full setup, documentation and training so your team maintains it 3 weeks

This is the foundation for b2b outbound campaigns and should be in place before that campaign launches. It also protects email marketing setup and automations if you send high volume to your own list. See the sales funnels and CRM service page and the marketing analytics service page. A real sales outreach program built on properly warmed infrastructure is in the B2B certification AI sales agent case study.

FAQ

How much does deliverability setup cost?

From $600 for domain setup, authentication and a full warm-up schedule for one sending domain. Multiple domains or mailbox rotation setups usually run $1,000 to $2,000.

How long does it take?

Technical setup takes a few days. The warm-up schedule itself takes 2 to 4 weeks and cannot be safely compressed without risking the domain's reputation.

What budget do we need?

A separate sending domain and mailbox typically cost $10 to $50 a month, plus a sending tool, usually $50 to $300 a month depending on volume. No ad spend is required.

What do we need from you?

Access to your domain's DNS settings, or a decision to register a new sending domain. And patience for the warm-up period. This is the step that protects everything built on top of it.

How do you report on performance?

Deliverability metrics directly: inbox placement rate, bounce rate, spam complaint rate and blacklist status. Checked weekly during warm-up and monthly once a campaign is running.
