Email, messengers & CRM

One message to everyone is a message to no one:
segmentation that actually changes what gets sent

Personalization that stops at a first-name merge tag is just a template with a variable. We build segmentation that changes the actual message, offer and timing, based on what a customer has actually done.

Where one blanket send wastes your data

Most “personalized” campaigns personalize only the greeting. A first name goes into an otherwise identical message sent to an entire list, no matter what each recipient actually bought, browsed or ignored. A first-time visitor and a five-time repeat buyer get the same promotion, the same tone, often the same product recommendations. That wastes data the business already has sitting in its CRM or store.

The deeper issue is a pattern most lists share: a minority of customers drive the majority of revenue. A blanket campaign treats that top segment the same as the bottom one. It misses the chance to protect margin on customers who would buy without a discount, while under-serving the customers who actually need a nudge.

Where segmentation does exist, it is often built on demographic guesses: age, location, inferred interest. What customers have actually done is a far stronger predictor of what they will respond to next.

How we build it

We build segments from real behavior: purchase history, recency and frequency, engagement with past campaigns, and product or category affinity, not demographic assumptions. For most businesses this surfaces a small number of segments: high-value repeat buyers, price-sensitive occasional buyers, engaged-but-not-yet-purchased subscribers. They behave meaningfully differently and deserve different messages.

For each segment, we define what actually changes. The offer, or whether there is one at all. The tone. The product recommendation. The timing. A high-value segment might get early access instead of a discount. A price-sensitive segment might get the discount that would otherwise erode margin on customers who did not need it.

We set segments up to update automatically in your platform as customer behavior changes, instead of a one-time export that goes stale within weeks. We also build suppression logic, so segments do not overlap. The same customer never gets three different campaigns in the same week just because they qualify for all of them.

What we need from you

Access to your store, CRM or email platform, showing purchase and engagement history. Your current campaign calendar, so we can identify exactly where a blanket send is currently going out and show what segmentation would have changed.

How we measure it

Open, click and conversion rate by segment. We compare that directly against the performance a single blanket send would have achieved, usually through an A/B test in the first cycle. This makes the value of segmenting concrete, not assumed, and tells us which segments are worth refining further and which were not different enough to matter.

Price and timeline

Option Price What it covers Timeline
Launch or audit from $900 Segment design, platform setup, first targeted campaign and A/B test 2 weeks
Monthly management from $500 / month Ongoing segment refinement, new segments, reporting monthly, no lock-in
Full control, handover to your team from $1,900 Full build, documentation and training for your team 3 weeks

This builds directly on customer lifecycle mapping if the underlying stages are not yet defined, and feeds into crm marketing automation and lead scoring and nurturing program. See the marketing analytics service page and the sales funnels and CRM service page, and automate customer segmentation for the agent-run version of ongoing segment maintenance. A real CRM and WhatsApp segmentation build is in the real estate CRM and lead routing case study.

FAQ

How much does segmentation and personalization cost?

From $900 for segment design, platform setup and the first targeted campaign built to prove the segments work. Ongoing refinement usually runs from $500 a month.

How long until segments are live?

2 weeks from access to your purchase and engagement data to automatically updating segments in your platform.

What budget do we need?

No ad spend is required, this runs on your existing list and platform. Most email and CRM platforms already support the segmentation rules we build, so there is usually no new tooling cost.

What do we need from you?

Access to your store, CRM or email platform with purchase and engagement history. Your current campaign calendar, so we can show where segmentation would have changed the message.

How do you report on performance?

Open, click and conversion rate broken down by segment. Compared against what a single blanket send to the same list would have achieved, so the value of segmenting is visible, not assumed.
