Reserving a table or a room correctly:
in real time, across every channel you take bookings on

A restaurant or venue usually takes bookings through several channels at once: a website widget, a phone call a host logs by hand, a walk-in list. The moment those channels stop sharing one source of truth, double-booking a table is a question of when, not if.

One true picture of what is actually free

A table or room reservation system holds one real-time picture of what is available, no matter which channel a guest used. A website widget, a phone call a host logs by hand, a walk-in assigned on the spot, all draw from the same picture. The core problem is the same concurrency challenge any booking system has: lock a slot the instant someone claims it. Here there is an added layer on top: physical capacity. A table seats a set number of people. A room holds a set group size. The system has to match requests to what actually fits, not just what time is free.

We have built real-time systems with this kind of shared state before. One example is Socket.IO-based live state in a multiplayer Telegram Mini App. Another is a medical records integration that needed one consistent schedule shared across staff and locations.

When you have actually outgrown a paper list

You need this once bookings come in through more than one channel and double-bookings or overbooked slots have actually happened, not just felt possible in theory. It also matters once you want real occupancy data. Knowing which time slots and days are genuinely full, versus which only look busy, beats a guess every time.

You do not need a custom system if your venue takes a low volume of reservations through a single channel. A simple booking widget from an established reservation platform is often the more sensible choice at that scale. We will say so rather than push a custom build you do not need yet.

How we keep every channel honest

Availability is modeled against your actual floor plan or room inventory, not a generic time-slot grid. That way the system knows a party of six cannot sit at a table for two, even if that table shows open at the right time. Every booking writes to the same PostgreSQL table with the same locking logic, no matter which channel it came through. That is what actually stops the double-booking you get when a website and a phone log run as two separate systems syncing “eventually.”

A host-facing interface lets staff log phone and walk-in reservations into the same system in seconds. What a manager sees at the end of the night then reflects everything that happened, not just the slice that came through the website widget. Confirmation and reminder messages go out automatically through whichever channel the guest gave, usually email or SMS. That alone cuts no-shows, without anyone having to pick up a phone to confirm.

Where reservation systems actually break down

The most common failure is staff bypassing the system under pressure during a busy service. They revert to a paper list “just for tonight.” That instantly brings back the double-booking risk the system exists to prevent. The host interface has to be fast enough that staff genuinely prefer it to paper, or the investment does not pay off. Floor plan changes, a renovated room, a new table layout, need to be entered into the system right away. Otherwise availability drifts wrong in a way nobody notices until a guest is standing at an occupied table.

Cost and timeline

Option Price What it covers Timeline
Single-location system from $4,000 Web widget, host interface, reminders 4 to 6 weeks
Multi-location system from $8,000 Several venues, shared reporting 6 to 8 weeks
System with complex floor plan from $10,000 Variable table sizes, room combination rules 7 to 9 weeks

Running cost is usually $15 to $40 a month in hosting plus messaging costs for confirmations and reminders.

What this pairs with

This pairs with booking engine for services for businesses booking staff time rather than physical space. It also pairs with ticketing and events sales for one-off events on top of standing reservations. See the development service page for package details. For a real scheduling-adjacent system we have built, see the medical centres marketing and systems case study.

FAQ

How much does a reservation system cost?

From $4,000 for a single location covering web bookings and a host log for phone and walk-in reservations. Multiple locations or a complex floor plan with varying table sizes typically run $7,000 to $12,000.

How long does it take?

4 to 8 weeks, depending on how many locations you have and how complex the floor plan or room rules are.

What is the stack?

FastAPI and PostgreSQL run the availability engine, with the same row-level locking we use in our booking engine builds. A Next.js widget handles the public-facing reservation form, and a simple host interface logs phone and walk-in bookings into the same system.

Who owns the reservation data?

You. Reservation history, guest contact details, and occupancy data live in your own database. That also means the reporting is yours, not something you rent back from a reservation SaaS.

Who maintains it after launch?

The availability engine runs on its own. Floor plan changes and time-slot rules get managed by venue staff through the admin interface, not by a developer.
