Where the hours go right now

Invoices arrive by email, by courier with a paper copy, or as a photo someone sends on a messenger. Someone on the accounts team opens each one, reads the line items, and checks them against the purchase order if there is one. Then they type the numbers into the accounting system by hand. A finance team processing a few hundred invoices a month usually loses several full working days to this alone. Beyond those hours, there is the backlog that piles up the moment that person is out sick or buried in closing the month.

There is a second cost that shows up later. A line item gets mistyped. A duplicate invoice gets paid twice because nobody checked it against the last batch. A vendor’s bank details get changed in an email that looked legitimate enough to act on. None of this is visible the moment it happens. It surfaces weeks later, in a reconciliation or an audit.

And there is a third cost: no two people do it the same way. One person checks every invoice against the PO before posting. Another posts first and reconciles later. Whoever just joined the team has the least sense of which vendors are reliable and which ones deserve a second look.

What the agent actually checks before it posts anything

The agent watches your invoice inbox and upload folder. It reads each one with a vision model - AI built to read a document the way a person would. That covers a clean PDF or a photo of a crumpled paper invoice. It pulls out the vendor, the line items, totals, tax and due date as structured data. Where a purchase order exists, it runs a three-way match: it lines up the invoice against the PO and any goods-received note. Where your accounting system already has a vendor and GL-code mapping, it applies that same coding every time. GL-code just means which accounting category each expense belongs in. No more guessing what the last person happened to type.

Invoices that match cleanly get posted straight into your accounting system, as drafts or as approved entries, depending on how much autonomy you hand it at launch. Anything that does not match cleanly goes to an exception queue with the reason attached. That covers a total that does not add up, a vendor not in your system, a PO already fully invoiced, or a duplicate of something already posted. Whoever reviews it does not have to re-derive what went wrong from scratch.

What we leave for a person to decide

Approving a payment, changing a vendor’s bank details, and deciding how to handle a real dispute with a supplier all stay with a person. The agent extracts, matches and flags. It does not decide an invoice should jump the queue ahead of your normal payment terms. It does not override a budget or approval rule your team already set. Any invoice above a threshold you choose goes through a human approval step before posting, no matter how clean the match looks.

What keeps this safe to turn on

Every invoice the agent touches gets logged: what it read, what it matched against, and what it decided. A controller can audit any entry after the fact. A new vendor, or any change to an existing vendor’s bank details, always gets flagged for manual checking. That is the single most common way invoice fraud actually happens. Before it posts anything live, the system runs a side-by-side dry run against a batch of your real invoices. A kill switch stops auto-posting with a single message if something looks off.
