Trello and Asana boards on autopilot:
created, assigned, nudged, never silently stuck

A task board only works as well as the discipline behind creating, assigning and following up on cards. That discipline usually erodes the moment the team gets busy, which is exactly when it matters most. We build automation that creates tasks from incoming requests, assigns by actual workload, and nudges a card before it stalls past the point of recovery.

Where tasks fall through the cracks

A task board that depends on someone remembering to create a card for every incoming request eventually has requests that never became a card at all. They get handled informally, then forgotten when the person who handled them moves on to something else. The board looks orderly while a meaningful share of the real work never passed through it.

Assignment by convenience is the second cost. Tasks go to whoever is easiest to reach or whoever asked last, not necessarily whoever actually has room for more work. One person quietly accumulates a backlog while another’s board looks clear.

Stalling silently is the third. A card sits in “in progress” for two weeks because nobody is specifically watching it. The deadline slip only becomes visible once it has already happened, at which point there is no time left to recover gracefully.

What the agent creates, assigns and nudges

The agent creates a properly formatted task the moment a request comes in through a form, an email or a chat message. Nothing depends on someone remembering to open the board and add a card by hand. Assignment follows actual current workload on the board, within whatever skill or role rule you set, instead of defaulting to whoever is easiest to reach.

Cards that go quiet longer than normal for that task type get a nudge before the deadline is actually at risk. A weekly digest rolls up overdue and stalled items for whoever leads the team, so nothing slips silently until it is too late to recover. Recurring workflows, the same task that needs creating every week or every month, run from a template instead of being rebuilt from memory each time.

Typical setup: Trello or Asana API, your intake forms or inbox as the task source, and a notification channel for nudges and the weekly digest.

Every build we ship follows the same path. We map the real process with the people doing the work today, exceptions and real volume included, not just the clean-path version. We test against a sample of your real data, not a demo set, then run a dry run against live activity before anything acts on its own. Finally we hand over the logs, the kill switch and a short written guide, so your team can run it without us in the room. The 30-day tuning window after launch is real work, not a formality: thresholds and wording get adjusted against what the first weeks of real usage actually show.

What stays with humans

Reassigning a card away from someone stays with a team lead, as does any judgment call about priority between two genuinely competing deadlines. The agent creates and assigns against the rules it was given. It does not take a task away from someone mid-work without a human decision to do so.

Guards

Every automated task creation and assignment is logged with its source request, so a team lead can trace any card back to where it came from. Reassignment away from an existing owner requires a human decision. A kill switch pauses automated creation and nudging in one message if a source starts generating bad requests.

Price and timeline

Option Price What it covers Timeline
Single automation from $500 One board or workspace, task creation, workload-based assignment, nudges 3 to 7 days
Department package from $2,500 Several teams sharing one reporting view, recurring templates, cross-board digest 2 to 4 weeks

Running cost is usually $20 to $100 a month in model usage depending on volume, with a budget cap set before launch.

FAQ

How much does Trello or Asana automation cost?

From $500 to wire task creation, assignment and nudges into one board or workspace, live in 3 to 7 days. Several teams sharing one reporting view sits closer to our department range.

How does it decide who to assign a task to?

By current real workload on the board, not a fixed rotation that ignores who is already buried. The person with the lightest actual load at that moment gets the next task, within any skill or role constraint you set.

What counts as a stalled card?

A card with no status change or comment for longer than you consider normal for that task type. It gets flagged before its deadline is actually at risk, not after it has already slipped.

Can it create tasks from an email or a form instead of typing them in?

Yes. A request submitted through a form, an email, or a chat message can become a properly formatted task automatically. The right board, list and initial assignee get set from the request's content.

Does this work with both Trello and Asana?

Yes, through each platform's own API. For a team split across both tools, the automation keeps task creation and nudging logic consistent across them.
