A live panel for your candidate pipeline
time-to-fill and source-of-hire, not a spreadsheet nobody updates

A staffing agency's pipeline usually lives in someone's memory, a spreadsheet and a chat history. Nobody can say with confidence which source brings candidates who actually get placed. We build a live panel that tracks every candidate through every stage, with the numbers a client reporting call actually needs.

Why nobody can say which source actually hires

Most staffing agencies can answer “how many candidates do we have” only approximately. “Which source actually produces placements” they usually cannot answer at all. Candidates arrive through referrals, job boards, social posts and direct outreach. They get tracked inconsistently across a CRM, a spreadsheet and a recruiter’s personal notes. By the time a placement happens, nobody can trace it reliably back to where that candidate first came from.

Industry estimates suggest 25 to 40 percent of candidate source data goes untracked or misattributed in agencies without a structured pipeline. That means a meaningful share of marketing and sourcing spend gets allocated on guesswork, not on what has actually worked. The guesswork compounds every quarter a new budget decision rests on the same incomplete picture.

Time-to-fill is the second number agencies need and often cannot produce reliably. Clients ask how long a typical placement takes for a given role type. The honest answer needs exact timestamps: when a requisition opened, when a candidate was identified, interviewed, approved and placed, stage by stage. Without a system recording those timestamps, the answer becomes an estimate based on recent memory. That estimate is usually optimistic, and occasionally wrong in a way that damages a client relationship once reality catches up.

Placement rate by source, by recruiter and by client account should drive where an agency spends its sourcing effort. It is also exactly the number that is hardest to produce from a spreadsheet several people update inconsistently.

Multi-client and multi-branch agencies feel a sharper version of the same problem. Each client expects its own report, in its own format, on its own schedule. Producing that by hand from a shared spreadsheet means either giving every client the same generic numbers, or spending real hours each month rebuilding a custom view. Agencies in this position often end up with the worst of both. Reports take too long to prepare. They still do not answer the specific question a client asked, because the underlying data was never structured to answer it.

What the live panel actually tracks

A live funnel dashboard. Every candidate shown by stage, from first contact through screening, interview, approval and placement. It updates as events happen, not as of the last time someone remembered to update a spreadsheet.

Source-of-hire tracking. Referral, job board, social or direct outreach, tagged at intake and carried through to placement. You finally see which source produces candidates who actually get hired, not just candidates who apply.

Time-to-fill and placement-rate metrics. Calculated from real timestamps at each pipeline stage, broken down by role type, client account or branch. A reporting call can answer “how long does this usually take” with a number instead of a guess.

A candidate CRM with real search. Every candidate searchable by skill, language, availability, document status and history. A recruiter filling a new opening can search existing candidates instead of starting intake from zero. That also makes the intake agent’s pipeline, described in our recruitment AI agent solution, useful well beyond a one-time funnel.

Stale-pipeline alerts. A candidate or requisition that has not moved stage in a defined window gets flagged. A promising candidate does not quietly drop out of the process just because nobody followed up.

CSV export and client-ready reporting. Every metric is exportable for a client report. Dashboards are built to be screen-shared directly in a reporting call, not rebuilt from scratch each month.

Per-client and per-branch views on one shared warehouse. Each client account or office gets its own dashboard and export format. The underlying data stays in one place. You stop maintaining a separate spreadsheet system per relationship.

How the build runs

  1. Week 1: audit of current tracking. We map what systems and spreadsheets currently hold candidate data, what is tracked consistently and what is not. Then we agree on the metrics that matter most to your clients.
  2. Week 1-2: data model and connectors. We design the pipeline stages and connect to your ATS, CRM, intake channels and spreadsheets. A raw layer keeps history preserved.
  3. Week 2-4: dashboard and CRM build. Funnel view, source tracking, time-to-fill and placement-rate calculations, candidate search. Built with the recruiters who will use it daily.
  4. Week 4-5: internal testing and reconciliation. We check the numbers against what your team already knows from memory. Any mismatch gets fixed before anyone relies on the dashboard for a client call.
  5. Week 5-6: launch and handover. Full rollout, CSV export configured for your reporting format, documentation handed over.

What it costs

Package Price Best for
Tracking audit from $800 Find out what your current pipeline data actually shows and what it is missing, with a fix list
Warehouse + dashboards from $2,500 Funnel dashboard, source-of-hire tracking, candidate CRM, CSV export
AI analyst + monitoring from $5,000 Everything above plus a Telegram analyst for ad-hoc questions and multi-client or multi-branch reporting

Prices follow the analytics service packages. The exact figure depends on how many sources and client accounts need connecting.

What the numbers usually look like

Agencies that move from spreadsheet tracking to a structured pipeline typically recover a meaningful share of that 25 to 40 percent of source data. That directly improves decisions about where to spend sourcing effort. Time-to-fill reporting commonly becomes reliable enough to quote to a client with confidence, instead of a rounded estimate. It comes from real stage timestamps, not memory.

Stale candidates and requisitions typically get caught and revived faster once an alert exists. The alternative, noticing only when a client asks why a role is still open, is usually the worst possible moment to discover it. Our own numbers are in the case studies linked below.

Why Senator Media

  • We built the candidate scoring and event logging behind a staffing agency’s live recruitment bot. We built the same warehouse and dashboard discipline into our analytics hub serving two brands across two countries.
  • We reconcile the dashboard against what your team already knows before launch. The first time you show a client a number, it has already been checked.
  • Fixed price agreed before work starts, with a working demo every week.
  • CSV export and documentation are built in from day one, so the panel keeps working for your reporting even without us involved later.
  • We design the data model around the questions your clients actually ask in reporting calls, not around whatever a generic ATS happens to export.

Pipeline analytics tell you what is happening. Many agencies pair this with an AI agent running candidate intake and first-round screening. Or look at the broader analytics service for warehouse and monitoring work beyond recruitment.

Tell us what your current pipeline tracking looks like, and which metrics your clients actually ask for. We will send back a fixed price and a three-to-six-week plan: get in touch.

FAQ

How much does a candidate pipeline dashboard cost?

A funnel dashboard and candidate CRM with source tracking starts from $2,500. Adding time-to-fill and placement-rate reporting across multiple client accounts or branches is $5,000 and up, depending on how many data sources need connecting.

How long does it take to build?

3 to 6 weeks for a working dashboard and CRM. The exact time depends on how many candidate sources and systems need connecting, and how clean the existing data is to start from.

What systems does it connect to?

Your existing ATS or CRM, if you have one. Telegram or WhatsApp intake channels. Spreadsheets you currently track candidates in. And job board or referral sources where source-of-hire data is available.

Can we export reports for our clients?

Yes, CSV export is built in from the start. Dashboards can also be screen-shared directly in a client call, so reporting does not mean rebuilding a spreadsheet by hand every month.

Does this replace our existing ATS?

Not necessarily. For agencies with a working ATS we usually build the dashboard and analytics layer on top of it. For agencies without one, or with several disconnected tools, we build a lightweight CRM and panel that becomes the system of record.

Can it track multiple client accounts or branches separately?

Yes. Each client account or branch gets its own view and reporting. The underlying data stays in one warehouse, so you get both per-client reports and an agency-wide picture.
